Meeting Minutes – May 22, 2023

Meeting called to order:

Secretary’s Report: John Russcher

  • The January 23rd, 2023 meeting minutes were posted on the website for review.   
  • A motion was made, seconded and the January 23rd 2023 meeting minutes were approved by member vote.

Treasurer’s Report: Mike VanAanhold

  • The club expenditures and account balances were reviewed. This includes the general fund, field improvement fund, mower and geotex replacement funds. If you have any questions feel free to contact treasurer Mike VanAanhold.
  • At the time of this meeting there are 13 unpaid members. 
  • A motion was made, seconded and the treasurer’s report was approved by member vote.

Safety Report/Field Maintenance: Steve Kastens (submitted in writing)

  • The new west side flightline fence will be installed soon.
  • The board with the AMA and Club rules and other general information will be installed soon.

Old Business:

  • The officers have been discussing a shelter for a year or more. Earlier this year we sent out a member survey earlier this year to gain your input. From all of that this is what we come up with. A 24’ wide by 32’ long shelter with a cement floor, electric outlets, lights, ceiling fan and enclosed storage. This was staked out for member review. It would be centered between the two taxiways and aproximnetly 8’ back from the line of tables; extending south 32’.  The back (south) 24’ x 12’ would be fully enclosed storage with an overhead garage door on the south side and a service door on the north east side. The front (north) 24’ x 20’ would be open on the east, west and north sides. There would be a countertop with electricity on the south wall along with a service door into the back storage area. There was a lot of discussion and questions about this plan with the following items coming to the top. Below is an photo showing how this was staked out.
    1. Don’t do anything until we have worked out a long-term lease with the landowners. These conversations will start winter/spring 2023/2024. 
    2. Review the plan with the landowners for their approval. A 24’ x 32’ shelter has been on all the site plans that we have given the landowners so there shouldn’t be any surprises.
    3. Total cost is unknow yet. Prices have gone up considerably since 2019 when we originally priced this out but they have started coming back down. This fall/winter we will work on repricing everything.
    4. Do a fund-raising project to gain the additional funds to build the shelter. Most people in the survey said that they would consider contributing.
    5. If the total cost of the shelter is more than our fund balance and donations received; then we will prioritize the cement floor, pole and roof structures with some basic electricity for charging. Then enclosing the back storage area, additional electrical, lighting etc. will come later.

New Business:

  • We applied for a $1,000 TAG grant in January from the AMA. The grant was for a RealFlight station that could be used at our events. The $1,000 would cover the cost of a copy of RealFlight with InterLink controller, laptop, television and a folding table. We received $200 of the $1,000 that we requested. A copy of RealFlight was donated to the club while waiting to hear back about the grant. Ben Riemersma offed to donate a television but we still need a laptop to run RealFlight on. If anybody has a laptop that they are no longer using and is capable of running RealFlight please reach out to John Russcher.

Meeting Minutes – January 23rd, 2023

Call meeting to order:

  • 7:00pm by Dave Jamrog

Secretary’s Report: John Russcher

  • The September 19th, 2022 meeting minutes were posted on the club website for review. No edits were made. A motion was made, seconded and the September 19th, 2022 meeting minutes were approved by member vote.
  • Membership, we started 2022 with 55 members, currently we have 74 members, 19-member increase in 2022.  

Treasure’s Report: Mike VanAanhold

  • Our 2022 income was $6,214.94(Budgeted $6,110) and our expense were $4,616.37(Budgeted $6,110). Our income less expenses was $1,598.57.
  • General checking account balance $5,115.88, Field Fund balance $3,924.98, Runway Replacement Fund balance $625, Mower Replacement Fund balance $500.
  • Motion Request – The officers would like to move the unused income of $1,598.57 from the 2022 budget to the following three funds.
    • Mower replacement $500
    • Runway Replacement $250
    • Field Fund $848.57

This would leave $3,515.11 the general checking account balance to start 2023 with. A motion was made, seconded and approved by member vote.

  • Dues change. If paying dues by PayPal Full Membership Dues will be $62 and Youth Membership will be $12. This is to offset the fees that PayPal is now charging us to receive funds through PayPal. A motion was made, seconded and approved by member vote.

Safety/Field Report – Steve Kastens

  • 200’ long x 10’ wide x 4” thick of gravel was install mid-December. This was paid for with funds out of the field fund.
  • Additional flight line fence will be installed this spring as well as painting a centerline on the runway. There is also some tape that has come loose from the runway seams.
  • Dave VerHoef brough up that we should add a board with the AMA safety rules and club rules.
  • A motion was made, seconded and approved by member vote.

  • The pavilion survey was discussed and the officers will continue their discussion about a pavilion.

Safety Report/Field Maintenance: Steve Kastens

  • Thank you to everybody that helped patch the geotex runway after the last meeting.
  • Steve will be talking to Eric from the Wolverine Skyhawks club about what paint they used on their geotex runway for a center line and X’s at each end.
  • The starting tables with wheels need to have the pool noodles replaced on the upright wing holds. Steve will be replacing these in the near future.
  • Steve is working on a materials list for the additional flightline fence on the east and west sides of the two taxiways. The new fence will replace the four current V shaped pilot stations.  
  • A motion was made, seconded and approved by member vote.

  • A motion to approve the officer slate of President – Dave Jamrog, Vice president – Scott Storteboom, Treasurer – Mike VanAanhold, Secretary – John Russcher, Safety – Steve Kastens was accepted, supported and seconded. The officer slate was approved by member vote.
  • A work day will be scheduled yet this fall to assemble the new flightline fence, rake out the top soil after being spread with a tractor and planting seed. You will receive an email with a date and time for this.

Safety Report/Field Maintenance: Steve Kastens

  • After the meeting we would like to walk and patch any holes or cuts in the runway.
  • If you use anything in the first aid kit, please contact Steve Kastens with what you used so that it can be replaced. (skastens@gmail.com)
  • The 4 V-shaped pilot stations will be replaced this fall with sections of fence like what we have between the two taxiways. There will be three sections to the west and two sections to the east. Each section will have an opening between them.
  • We will also be painting a centerline down the runway and looking into the need for X’s at the end of the runway.

Old Business:

  • The remaining dirt pile will be spread and leveled later this fall when we are ready to put grass seed down. This will allow us to plant the grass seed in soft dirt instead of having to work with the hard ground.   

New Business:

  • Officer nominations. Dave Jamrog (president), Scott Storteboom (VP), John Russcher (secretary), Steve Kastens (Safety) are willing to continue as club officers. Dave VerHoef (treasurer) would like to be done. Dave has served the club for 10 years as treasurer and has been a huge asset in the leadership of the club. We opened up nominations and did not receive any during the meeting.
  • Tyler and Steve Kastens attended the Aviation Day 2022 at West Michigan Regional Airport on Saturday August 20th.  The showed off a variety of model airplanes and talked to allot of kids and adults about our hobby.

    • Wednesday August 24th – 2nd to last Combat. Hot Dogs at 6pm, Combat starts at 6:30.
    • Saturday August 27th – Team Drone Race. Races start in the afternoon and will continue until dark.

    • Wednesday September 14th – Last Combat event. Hot Dogs at 6pm, Combat starts at 6:30.  
    • Saturday September 17th – 2nd Annual Autumn EDF Jet Event. Registration opens at 9am, Pilots meeting at 9:45, Flying 10am-4pm.
    • Monday September 19th – Membership meeting. 7pm at the field.
    • Saturday September 24th – Drone Race. 11am – 3pm

Addendum: After the meeting Mike VanAanhold approached a couple of the current officers with a few questions about the Treasurer’s positions. After a brief conversation Mike agreed to being nominated for the Treasurer’s position. A vote on this slate will be taken at the September meeting.

  • At the time of this meeting there are 57 members. This includes 4 grandfathered in life members and one new member that joined at the meeting.
  • The field lease and the AMA charter were both paid in March 2022
  • The drain tile work was completed and the $1,000 was paid out of the new field fund.
  • A motion was made and seconded. The treasures report was approved by member vote.

Safety Report/Field Maintenance: Steve Kastens

  • The flight line fence after the meeting.
  • The first air kit is under the charging table in a plastic box.
  • There is a fire extinguisher mounted to the leg of the charging table.
  • There was some discussion about the underground wire that has one power leg not working. We are going to use a meter to do some more investigation to try to find where the break is.

Old Business:

  • The drain pipe was installed and is draining water to from the parking area/driveway to the drainage ditch on the west side of the road.
  • We are getting two 10-yard loads of dirt delivered once the parking area is dry enough for the dump truck to drive on it. Once we know when the dirt will be delivered, we will use it to fill in the low spots to help the water to flow to the drain.  

New Business:

  • New members Tom Cudney and Matt Helms introduced themselves.
